You can email your staff (automatically overnight) with a copy of their schedule. This function can prove useful when it alerts casual staff that they have a series of services starting soon. It can also provide a useful safeguard / backup to the online schedule in the unlikely event of a technical failure.
When you email your staff with their schedule, the setting described in this article controls how many days into the future that you want the schedule to cover, eg. 1-7 days. You can optionally set it to "0" which stops schedules being emailed to staff. The overnight email is sent to the staff work email address see How do I Add a New Staff Record? for more detail.
Tip: This could be really useful for staff who work part time who are less likely to check their schedules on a regular basis than staff who work full time. It could also help full time staff with regular schedules who can also (for a variety of reasons) neglect to check their schedules regularly.
Important: The daily schedule is ALSO automatically CC'd to your admin email address overnight as a safety measure so that you always have access to your latest schedule should something go wrong.
To protect your business and to ensure that you always have a copy of your schedule, this CC overnight email CANNOT be switched OFF.
How do I set the Duration of the Daily Schedule Email?
Navigation: Admin > Settings > Schedule Settings > Options
- Select the number of days for the email schedule:
- 0 days (staff never receive email schedules).
- 1-7 days (staff receive a daily email sent at midnight containing their schedule for the next X days).
- Click "Update."
Note: You can also configure your staff on an individual basis if the global setting doesn't work for you, where you can switch the daily schedule email ON or OFF. See Email Staff Schedule Automatically for how to do this.
