Add "Admin Notes" to an Invoice or Quote, to document workflow and important notes, such as:
- Add a reminder you to contact the client on a specific date.
- Invoice the client on a particular day.
- Note why, or when a client says they will pay their Invoice, so your admin team is aware.
Admin Notes are visible on the admin interface and can be viewed by the admin team, or staff with access to view quotes and/or invoices. They are not visible to clients.
Tip: An Admin Note added to a Quote will transfer to the Invoice when the Invoice is created.
How Do I Add or Edit an Admin Note on an Invoice?
Navigation: Clients > access a client account > Orders & Invoices
Step 1
- Select the blue word "Invoice No. XXX."
Step 2
- Click "Admin Notes" in the left-side menu.
- Add or edit note.
- Click "Update."
How do I View Admin Notes in the Unpaid Invoices report?
Navigation: Invoicing > Unpaid Invoices
- Click "This Month End" or enter a date.
- Click "Reload."
- Admin Notes are displayed below the client's name and Invoice number.
- To edit the note, click the invoice number to view that invoice, then access the Admin Note.
