Before you create invoices, you may want to send quotes to your clients. Quotes can prepare clients for their invoice and give them a chance to inform you of changes. You can send quotes to multiple clients as a service confirmation before services begin.
More About Quotes
Once you have scheduled services in a service order, you have the option to send your client a quote. Quotes look like invoices but they are an estimate showing the dates and rates of scheduled services, but they cannot have payments receipted to them. Whereas Invoices are an actual bill for services that is owed now and can be paid.
How Do I Send Quotes in Bulk to Multiple Clients from the Bulk Invoicing Report?
Navigation: Invoicing > Bulk Invoicing
Step 1
- To filter the list of Quotes, adjust each dropdown to select a subset of quotes, click "Reload."
- Or do not set filters and click "Show All Dates" to display All Quotes for all dates.
- Sort the Bulk Invoicing report, if needed, by clicking on any of the Header Row Names, such as Start, End or Client, to sort the data by that column.
Step 2
- Click on the checkbox in the column header to select All clients, or select individual clients.
- Click "Email Quotes."
Step 3
- Choose an email template from the dropdown and edit, if needed.
- Click "Send Quotes."
Step 4
- Below is an example of how your email might look when your client receives it. Your quote is automatically attached to the email as a PDF.
Note: Sending a quote does not add a "balance due" on the client's account. The service order (quote) can be changed as needed. When it is time for the client to pay, you'll create an invoice for them.
