Notify Admins of Potential Scheduling Conflicts

Once you have allowed clients to request services online through the Client Portal, admins can manage potential duplicates by enabling a notification for scheduling conflicts in Service Request Advanced Settings 


Switching on "Notify Admins of potential scheduling conflicts" displays a drop down menu to enable conflict warnings for:

  • A service is scheduled on same day at anytime
  • A service is scheduled on same day at same time


Scenario:
A daycare provider schedules their monthly repeat services in advance. A week later, without checking their schedule, a client sends in multiple requests for services for the month ahead. Admins process the service requests, thus resulting in duplicated services on the schedules for the client.


With "Notify Admins of potential scheduling conflicts" enabled on the system, when Admins go to process the Service request, they now receive an immediate warning message informing them of potential duplicates on the schedule.


How Do I Enable Scheduling Conflict Notifications?

Navigation: Admin > Settings > Service Requests > Advanced


  • Toggle ON " Notify Admins of potential scheduling conflicts"

From the drop down menu "Notify When...", select one of the following options:

  • A service is scheduled on same day at anytime
  • A service is scheduled on same day at same time

Click "Update" to save your selection.

When Service Requests are processed and a service has already been scheduled for the same client, for the same day, service and time, the following notification will be displayed and the affected services are highlighted in the Service Request Processing screen:

From here, choose whether to cancel the warning and make adjustments to the services requested or go ahead and schedule the services.
