Auto Assign Requests to an Order

When Service Requests are submitted from the Portal, you can have the services automatically assigned to an Order. Or you can manually assign them to an Order after review, to allow you to decide if the services should be assigned to an Existing Order or a New Order. 

When requests are assigned to Orders, the scheduling notepad for service requests is enabled and you can review any admin notes regarding Requests on the Service Request page for easy management. 


Tip: The scheduling notepad is a great place for collaborating with your team and storing notes regarding the processing of an Order from “request” stage through to “scheduled," and only shows on the main Service Requests screen when the requests are "assigned to an order."



If you choose this option, and Service Requests that are part of Existing Service Orders are received, you can Move them to the existing Order.

What are the rules? How does this work?
  • If all items on your last service order for any given client have been invoiced, then any new service requests received for that same client will be placed on a new order that is automatically generated by the system. Subsequent additional receipts of service requests will also be placed on this same new service order until such time as it is fully invoiced.
  • If only some of the items on your last service order for any given client have been invoiced, then any new service requests received for that same client will be appended to this existing partially invoiced service order.
  • The system will only generate a new service order if all items on the previous order(s) have been invoiced.
  • If the system assigns service requests to an inappropriate service order, then they can easily and subsequently be moved to the correct order. 
  

How Do I Automatically Assign Service Requests to an Order ?

Navigation: Admin > Settings > Service Request Settings > Advanced


  • Toggle "Auto assign requests to Order" to ON.
  • Click "Update."

When this option is switched ON, the scheduling notepad displays on the main Service Requests processing screen.

To add admin scheduling notes, open the scheduling notepad from the Service Request Order screen or click the pencil from the Service Request processing screen.
