You can email some or all of the scheduled services in the order to the sitter(s), the client, or both, allowing you to confirm one or more scheduled services. For example, you email the assigned sitter(s) to confirm availability or have the client confirm recent changes.
More About Service Orders
A Service Order contains services a client has ordered, for a date range that will be invoiced together, such as one month of daily walks or a 2 week vacation. The services are simultaneously populated to the Schedule and are used to create an Invoice for the Client.
How Do I Email Services to a Sitter or Client?
Navigation: Clients > select a Client > Orders & Invoices
Step 1
- Open the Service Order by clicking the blue order label name.
- Do not click "Quote" or" Invoice No:" Those are different, you can't email services from here.
Step 2
- Check the box beside service(s) to email, or check "All" to select all records.
- Click "Email."
Step 3
- In the Email box:
- Toggle "Send to Client" ON to email the client (as needed).
- Toggle "Send to Sitters" ON to email the sitter(s) assigned (as needed).
- Select an email template from the dropdown.
- Add "Email Subject" for the Subject Line of your email.
- Click "Send."
Using Email Templates and Merge Codes:
You can use pre-written email template, edit a template or create new emails for your needs.
Merge codes insert specific information into a templated email, such as adding a "Job Table" to display the selected services in an email that is sent to the sitter(s) or client.
Admin > Supporting Data > Email Templates > All Merge Codes DO NOT DELETE has a list of merge codes. Read how merge codes can only be used in specific contexts.
The "Job Table" merge codes are (use these only with Scheduled Services not Requests):
- {JOB_TABLE} Inserts selected services, ordered by date and time.
- {JOB_TABLE_SITTER} Inserts selected services, by date and time, including the Sitter.
- {JOB_TABLE_CLIENT} Inserts selected services, by date and time, including the Client.
- {JOB_TABLE_CLIENT_SITTER} Inserts selected services, by date and time, including the Client and Sitter.
