Service reports are a useful feature for you and your staff to feed back information to your clients after a pet visit. Some businesses find service reports are a useful way of recording incident reports as there is a date and timestamp plus you can add a photo of the incident and a description, such as an injury or a broken item in the home.
Staff can add photos from their phone to include in the service report. You can also customize your reports, adding many fields that you use in your business to gather data, by adding custom fields.
Staff can create, publish and send Service Reports via their Dashboards, or directly from their planner.
Tip: Admins can read/approve the Service Reports BEFORE they are sent to clients, switch OFF "Can Send Service Reports" in Staff Permissions.
Note: If you turn OFF using service reports in the Advanced Settings for a Service Item, the Service Report icon is no longer visible to staff during a visit.
How do I Send a Service Report from the Planners?
Navigation: Scheduler > Schedule > Group or Staff Planner
Service reports can be sent directly from a staff/sitter's Planner.
- Click on the total of scheduled services for the relevant day.
- Click the service item for the relevant client you wish to send a Service Report for.
- Click "Service Report".
- In Visit Notes, enter the feedback to your client about the activities carried out during the visit/walk/boarding or Daycare service.
Note: Your Service Report may have a different configuration than the one shown, depending on your Service Reporting customisations in Admin > Custom Fields > Service Reports. Learn more about customizing your Client/Pet and Service reporting pages in Custom Fields.
- You can also upload photos from your device to send to your client with your Service Report by clicking "Choose File."
- Depending on Staff Permissions, (please read What does "Can Send Service Reports" Allow?), you can either "Update" or "Send" the Service Report.
- When the Service Report has been successfully sent, a confirmation message will be displayed on the Service Report page:
More About The Planner
The Planner can help you quickly schedule, view staff availability and facility capacity. You can use the planner to track just one service or a few services at a time, depending on the configuration. Setting up the planner for each use is slightly different and you'll want to understand a Resource Cost before starting set-up.
