Tutorial 2-3: Add Staff Pay Rules

When you have set up your services, you have the option to add a rate of pay for your various staff roles you will set up in your software. (In this tutorial, we have already included a few different staff roles for you to practice with.) We call these "Staff Pay Rules." These can be set as a standard amount, plus you can set them to increase (eg. at a weekend) or reduce (eg. if the service is discounted).

You will learn how to set out certain "rules" for when staff pay is calculated for your services and is automatically applied to your prices.


How Staff Pay Rules work

Pet Sitter Plus provides employers with a means to calculate staff pay by applying a standard pay rate (or amount) for each service. The staff pay amount can:
  • vary according to the type of service
  • vary according to the seniority of your staff roles
  • either be a fixed amount or a percentage of the charge rate
There are however, a variety of situations that can arise when you might want to override the standard staff pay rate and pay a higher or a lower rate:
  • Many of these situations can be programmed into the system using staff pay rules.
  • Staff pay rules will automatically adjust the standard staff pay rate to reflect your detailed staff pay  rules which means you make fewer manual adjustments when calculating the final pay for your staff.


Step 1: How do I Add a standard Staff Pay Rule?

Navigation: Admin > Services > Service items


Scenario: Tammy usually pays her sitters $7.50 per visit for carrying out a fish feeding service. However, at the weekend the sitter is paid $10.00. She will need to add a staff pay rule to automatically increase the amount the sitter is paid on a weekend.

1. Click "FishFeed" from the service item list.

2. Next click "Staff Pay Rules"
3. Click the button for "Add a New Staff Pay Rule"

4. Choose the option "it is a weekend" from the dropdown
5. Type in the staff pay amount for the weekend service "$10.00"
6. Click "Add"

Your new Staff Pay Rule appears in the list.

You can see that if the service is scheduled on a weekend, the staff pay will be automatically increased from $7.50 to $10.00.

Step 2: How do I Add a Staff Pay Rule based on different rates of pay?


Scenario: Tammy usually pays her sitters $7.50 per visit for carrying out a fish feeding service. However, if they are at "Pay Level 2" the sitter is paid $8.50. She will need to add a staff pay rule to automatically increase the amount the sitter is paid for this service.


Begin creating a staff pay rule following the method you learnt in the steps above.

1. Choose "the staff type is" from the dropdown
2. Choose the client type "Pay Level 2" from the second dropdown
3. Type in the higher pay amount "$8.50" and click "Add"

Your new staff pay rule appears in the list.

You can see that if the service is scheduled for a  sitter who is on Pay Level 2, the staff pay will be automatically increased from $7.50 to $8.50.

Step 3: How do I Add a Staff Pay Rule for Multiple Circumstances?


Scenario: Tammy usually pays her sitters $7.50 per visit for carrying out a fish feeding service. However, if they are at "Pay Level 2" the sitter is paid $8.50. However, when sitters take the service on a weekend, they are usually paid $10.00 unless they are at Pay Level 2, in which case they are paid  $12.00. Tammy will need to add a staff pay rule to automatically increase the staff pay amount for a weekend, BUT ALSO increase the staff pay to the Pay Level 2 amount at the same time.


Begin creating a staff pay rule following the method you learnt in the steps above.


Note: You have two existing staff pay rules in your list:
  • One will increase the staff pay paid for a weekend booking.
  • The other will increase the staff pay paid to sitters who have the staff type "Pay Level 2".


1. Create a staff pay rule and choose "the staff type is" and "Pay Level 2" from the dropdowns
2. Then click "Add another if... "
3. Choose the condition "it is a weekend" from the dropdown
4. Type in the new pay amount "$12.00" for the new multiple rule. Click "Add"

Your new multiple staff pay rule appears in the list with the others.

You can see that if the service is scheduled for a sitter who is paid at Pay Level 2 AND the service is scheduled on a weekend, the staff pay will be automatically increased from $10.00 to $12.00.
