If your staff member changes their role, or leaves your employment, you can quickly replace the references to them throughout the system.
For example, your staff member may have been the primary sitter for several clients and you wish to quickly reassign these clients to another sitter. You may wish to do this also for their team memberships, repeat services and for their assigned keys.
Tip: When a Staff Member leaves, you will want to do all of the following:
- 1. Reassign Current Visits on the schedule to a new staff.
- 2. Assign a new Primary Sitter to clients.
- 3. Reassign keys previously assigned to this Staff.
- 4. Reassign all Repeat Services assigned to this Staff.
- 5. Make the Staff Inactive.
When reviewing a Staff's Maintenance Page, associations the staff has to client accounts, keys and services can be viewed, so the necessary items can be reassigned to other staff.
How Do I Reassign a New Staff to a Client as Primary Sitter?
Navigation: Admin > Staff > select Staff Name > Staff Maintenance
Step 1:
- Select the new staff member to be re-assigned to from the dropdown menu.
- Click "Replace."
- This will replace the staff on the Primary Sitter on the Client Admin page.
Note: If you do not want to assign all the clients to the same new Staff, you can select "NONE" and then individually assign the clients to the appropriate new staff members.
How Do I Reassign a New Staff to a Client's Sitter Team?
Step 2:
Select the new staff member to be re-assigned to from the dropdown menu.
- Click "Replace."
- This will replace the staff on the Sitter on the Client Admin page.
Note: If you do not want to assign all the clients to the same new Staff, you can select "NONE" and then individually assign the clients to the appropriate new staff members.
How Do I Reassign a New Staff to a Client's Repeat Service Template?
Step 3:
- Select the new staff member to be re-assigned to from the dropdown menu.
- Click "Replace."
- This will replace the staff on all of the Client's Repeat Service Template.
How Do I Reassign Keys from One Staff to Another?
Step 4:
- Select the new staff member to be re-assigned to from the dropdown menu.
- Click "Assign All Keys."
- This will replace the assigned staff on the Client's "Keys" page.
Note: If you do not want to assign the keys to the same new Staff or if keys are returned to the office, you can select "NONE" which unassigns the keys, leaving them assigned to no one.
How Do I Reassign All Services from a Staff When They Leave?
Navigation: Admin > Staff > select Staff Name > Services
Step 5:
- Select a date range from the staff last day into the future (for example 1 year) to ensure you capture all of the services assigned to this staff.
Step 6:
- Select the services to be reassigned.
- Click "Edit."
- On the pop-up, select the new staff.
- Click "Update."
- NOTE: If you do not want to assign the keys to the same new Staff or if keys are returned to the office, you can select "NONE" which unassigns the keys, leaving them assigned to no one.
